What is ROT in File Analysis?
File analysis solutions help assess, categorize and remediate data residing in the company
SharePoint and file shares. Often there are billions of files in a SharePoint that are mostlyuseless. These unnecessary files are termed ROT data. ROT stands for:
Redundant: Many times, several copies of a single file are created and circulated in a
business. These copies can be created due to collaborations between people over the
same document or by sending one file to multiple recipients. Since each of these file
copies cover the same material, they are redundant and unimportant to organizations.
Obsolete: File shares are capable of hosting files for years, resulting in files being
outdated. Additionally, files are often incomplete or carry incorrect information due to
the lack of proper information management. These files are known as obsolete data.
Trivial: Often, employees save their favorite songs or pictures on their work computers.
These files do not contribute anything to corporate knowledge. Such non-work files that
are kept in the company sever are considered trivial data.
Managing billions of ROT files is not an easy task. Therefore, companies resort to file analysis software that helps assess, categorize, and remediate ROT data.
